The Meade Law Group is a Family Law and Criminal Defense firm in the Westerville area of Columbus, Ohio. We are searching for a new Administrative Assistant to help us expand our practice.
When our prospective clients call us for help, they are often going through an emotionally difficult period. Our Administrative Assistant provides our potential new clients with the ultimate telephone experience. It requires the right combination of telephone skills, empathy, and ability to investigate to the root of their legal issues.
Our Administrative Assistant will also communicate with court staff, other law offices, and various professionals daily. This position will often be the face of our firm and clear, professional, communication is a key skill, as well as the ability to maintain confidential information and communications at all times.

Description for the Ideal Candidate:
Think you have what it takes to be our next Administrative Assistant? We provide the training, and for the right person, this will be a highly rewarding position.
The role of the Administrative Assistant is fast-paced and demanding. The Administrative Assistant works directly with the Attorneys and the paralegals but reports to the Office Manager.
They provide thorough, accurate and timely support to the Attorneys as well as cultivate longlasting relationships with our clients, the courts, and other attorneys.
The ideal candidate for this position has a strong work ethic, demonstrable customer service background, exceptional problem-solving skills and is comfortable working in a detail-oriented and dynamic workplace.
Candidate must be able to work independently and as part of a team in this fast-paced environment, be able to work with minimal guidance, and often prioritize multiple concurrent tasks.
We are looking for an “A+” player with the organizational talent to help us to grow our business. The person we hire must bring energy, positivity, and a “can-do” attitude to work every day. Successful candidates will possess great organizational and analytical skills, effective problem solving skills, and a strong client service focus. When the attorneys need help, they are often experiencing a large workload and a pressing deadline. The Administrative Assistant must remain collected and organized while still being able to provide empathy, compassion and confidence to the clients, courts and outside attorneys.
The primary responsibility of this position will be to assist the Attorneys, however, the ideal candidate will be interested in multi-tasking and taking on additional responsibilities as our department grows. This position will handle important administrative duties related to reporting requirements, customer service, client conversion, and other sales reports.
The right candidate will have the opportunity to expand into other roles within our law firm.

Excellent writing and computer skills are very helpful.

DUTIES:
- Operations to Open, record, notify and file any incoming correspondence (mail, phone, email, etc.),
- Primarily handle incoming phone calls,
- Coordinate and record any outgoing correspondence as necessary (mail, phone, email, etc),
- Maintain accurate files and electronic data bases on cases, both open and closed,
- Maintain and order office supplies with the specified budget,
- Interact with other tenants in the building and direct their needs to the Property Manager,
- Open the building each morning,
- Notify the property management or the Office Manager of any necessary repairs,
- Maintain law firm general SOPs,
- Maintain security and confidentiality of client information pursuant to Ohio guidelines,
Duties as assigned:
- Case Management
- Open Cases and maintain the corresponding SOP,
- Close Cases and maintain the corresponding SOP,
- Closed filed storage and retrieval,
- Manage Contact information,
- Communicate with clients and gather relevant information,
- Identify client needs, clarify information, research every issue and provide solutions and/or alternatives,
- Contact Courts and other attorneys as necessary,
- Attend weekly Matters Meetings with each attorney, providing clerical support for these meetings such as tasking, calendaring, and noting files,
- Calendaring
- Maintain and manage firm calendar.
The Administrative Assistant is also expected to:
- Maintain a calm and friendly phone demeanor with all clients, staff and attorneys,
- Stay in communication with all clients and assisting them with gathering and submitting their documentation, answering questions as needed,
- Respond to client/staff emails accordingly,
- Set tasks and appointments in calendar,
- Follow up with clients that have not sent in their paperwork,
- Report to the Office Manager,
- Identify client needs, clarify information, research every issue and provide solutions and/or alternatives,
- Build sustainable relationships and engage clients by going the extra mile,
- Keep comprehensive records of all conversations in our call center database,
- Accept tasks from all members of the firm,
- Perform other possible duties as assigned.
REQUIREMENTS – What we are looking for in a candidate:
- Associate’s or bachelor’s degree preferred.
- At least 1-year sales experience or legal case intake experience
- Computer literate and experience with general office applications such as Microsoft 365 (Outlook, Teams, SharePoint, OneDrive), RingCentral, Clio, MailChimp, QuickBooks and others.
- Ability to exercise effective judgment, handle confidential information, demonstrate initiative, problem-solving and a customer-focused orientation.
